Award the contract to Phoenix for the next three years
The end of May will see the expiry of the main three year agreement for the school's Microsoft licences.
The end of May will see the expiry of the three year agreements for the school's Microsoft licences. Renewed agreements must be operational before the 1st June 2022. The agreement provide access to the latest Microsoft software products and services to help ensure the School is able to support and integrate with its ICT platforms. In addition, the agreement ensures we have access to the latest updates and patches to support the School's ICT patching and vulnerability management policies. All the licence quantity requirement have been validated against the HR database in regards to the total number of Educational Qualified Users (EQUs). The main academic agreement through the annual anniversary will allow for the true-up of additional licence quantities, and true-down without financial penalty for the remaining term of the agreement. The opportunity was let under Crown Commercial RM6068. The opportunity was sent out on the 7th April 2022, and close on 15th April 2022. Based on current EQUs for the Primary Schools and Cowley High, the total outline cost for the three year agreement is £269,369.31 The attached evaluation spreadsheet provides a summary of cost, payment per year, and the overall cost. If the EQU number increase in year, costs will increase on a pro rata licence unit cost basis. If the EQU number decrease these can be reviewed each May. Future years will reflect the cost reduction. Please note that Halton Council and the Academies (Hope and St Augustine's) are to raise their own Purchase Orders separately to Phoenix Software.
